👉 We are now looking for an Executive Assistant to join PostScriptum. In this new role, your goal is to ensure that the day-to-day life of PostScriptum's founder flows seamlessly, so that he gets to focus his energy and bandwidth on driving his operative companies forward.
PostScriptum is Peter Sarlin’s founder’s office, focused on building and investing in AI-first companies for the long term. Peter Sarlin is the founder and Chairman of Foundation PS and PostScriptum, the cradle of NestAI, Qutwo and Silo AI (which was sold to AMD in 2024). Foundation PS supports AI research excellence in Finland and Europe through endowed professorships, including 13 professorships at the ELLIS Institute Finland. The position is full-time and permanent, and we hope that you could start latest in the beginning of September, and preferably already in August 2026. You will be based in PostScriptum’s office located in central Helsinki. This role requires you to adjust to the founder’s schedule, working in-office most days of the week. Occasional remote work is possible, but flexibility is a necessity.
As an Executive Assistant, your main priority is to ensure that the founder’s daily agenda runs smoothly. You will manage the founder’s email correspondence and calendar; organize and book travel, transport and accommodation; handle travel expenses; and overall plan ahead to ensure that the daily agenda is seamlessly organized and thought-through. This role will require you to think ahead and to react to changes (that can at times be sudden), and to independently take care of any practical arrangements connected to daily agenda.
You will join a small team of passionate professionals who support the PS portfolio companies. You will operate in an emerging and constantly developing environment, meaning that ambiguity and doing things for the very first time will not faze you. Therefore, we are looking for an individual who can comfortably navigate without pre-defined guidelines, and who enjoys stepping in and getting things done.
You may be the individual we’re looking for if:
🔹 you have at least a year or two of experience from a demanding assistant role – if your background is from the tech startup/scaleup scene, that is great, but it could also be e.g. from a role where you have supported experienced professionals engaged in complex specialist work in their day-to-day;
🔹 you are diligent, pragmatic, proactive, and capable of remaining a step or two ahead by anticipating needs and identifying potential issues before they arise;
🔹 you take ownership, make independent decisions, and are quick to adapt to changes – even if sudden;
🔹 you are flexible and, due to evening events and travel to other time zones, reachable at times also outside of standard office hours; and
🔹 you are tech-savvy and have strong interpersonal and communication skills in English, Finnish and Swedish.
While this role calls for prior experience from a demanding assistant role, the most important decisive factor is that you can demonstrate your motivation, potential, and capability to learn by doing, as well as your proactive, pragmatic, and solutions-oriented ways of working. 🔹 A compensation package consisting of a monthly salary and employee benefits – based on the level of seniority and the relevance of your previous background, the salary ranges from EUR 3,200 to EUR 3,600/month.
